Our client seeks to continue that focus and the following role will support the compant to maintain that focus.

Role Description

The Administration Manager is responsible to coordinate, oversee and coordinate all administrative & support functions for
the company. The successful candidate will be located at the Head Office and will hire, train, and evaluate administrative team
members, develop, review, and improve policies, systems, and procedures, and generally ensure the company operates
smoothly and efficiently.

The Administration Manager is also responsible for support the development and enforcing budgets, delegating administrative
tasks and tracking progress on projects, and planning and organising a calendar of events, which may include training sessions,
interviews, new hire onboarding, inductions & orientations, and policy or procedure updates.

The Administration Manager must be focused on attracting and retaining top talent and streamlining office operations to
maximize quality and efficiency while reducing costs. You should be analytical, knowledgeable, and organised with a proactive attitude and strong leadership skills.

Manage and oversee the day-to-day operations of the administrative team:

  • Hiring, training, and evaluating administrative personnel, taking corrective action when necessary.
  • Developing, reviewing, and improving administrative systems, policies, and procedures.
  • Ensuring provision of necessary office supplies and all equipment is working and properly maintained.
  • Working with the finance and management team to set budgets, monitor spending, and processing payroll and other
  • expenses.
  • Planning, scheduling, and promoting office events, including meetings, conferences, interviews, orientations, and
  • training sessions, and other office activities (recycling, renovations, relocations etc.)
  • Collecting, organising, and storing information using computers and filing systems.
  • Overseeing administrative projects and tracking progress towards company goals.
  • Building new and expanding existing skills by engaging in educational opportunities.
  • Plan and coordinate administrative procedures and systems and devise ways to streamline processes.
  • Assess administrative personnel performance and provide coaching and guidance to ensure maximum efficiency.
  • Ensure the smooth and adequate flow of information within the company to facilitate other business operations.
  • Manage monthly reporting requirements, schedules and project deadlines.
  • Monitor inventory of office supplies and the purchasing of new material with attention to budgetary constraints.
  • Monitor costs and expenses to assist in budget preparation.
  • Oversee & Manager office facilities & services, maintenance activities and tradespersons, space allocation (e.g.
  • electricians)

Main Duties/Responsibilities

  • The main duties and responsibilities of this role are to Manage and Oversee Administrative support to the Executive, Operations, HSEQ and HR Management Teams
  • The requirements will vary, however they are generally defined as follows:

Executive

  • Manage, Coordinate and Oversee Administrative Support for:
  • Policy and procedure development
  • Budget development and support
  • Calendar support and management
  • Managing Director’s – Executive Assistant
  • Assist the development of the Company Strategic Plan

Operations

  • Coordinate and Oversee Administrative Support for:
  • Operations policy and procedure development.
  • Budget development and support.
  • Support development of project management plans.
  • Asset management processes for all company and project vehicles, plant, equipment and other assets.
  • All accommodation management processes.
  • All travel, transport and logistics processes and requirements.
  • Business development and tendering activities.
  • Maintenance of all Company Asset Registers.
  • Organise inspection, testing, calibration and records management for all Company Assets as required.

HSEQ

  • Coordinate and Oversee Administrative Support for:
  • HSEQ policy and procedure development.
  • HSEQ Registers.
  • Client & Customer Feedback Processes.
  • HSEQ Communication Processes.
  • Company Documentation Management.

Human Capital

  • Coordinate and Oversee Administrative Support for:
  • Employment Contracts, position descriptions etc.
  • Reconciling Travel.
  • Timesheets.
  • Annual Leave.
  • Employment Records.
  • Arrange Employee Medicals.
  • Upkeep Employee Records including for all Medicals.
  • Onboarding, Induction & Orientation Management.
  • Travel Management & Bookings.
  • Accommodation Management & Bookings.
  • Vehicle Management & Bookings.
  • Information Technology
  • Coordinate and Oversee Administrative Support for:
  • IT Systems and Process Consultants.
  • Management of SharePoint, in consultation with the Finance Manager.
  • Manager all IT hardware and software systems.
  • Develop IT Objectives and KPI’s, and manage IT Consultants to perform to meet those KPI’s
  • Position Specific Requirements
  • To be successful in this role you will need to be able to complete the following:
  • Manage company purchasing requirements in consultation with the National Operations and Finance Managers.
  • Order/Manage Fuel Card Orders and Management.
  • Assist and support department managers with their administrative functions.
  • Provide administrative support to all projects.
  • Develop and lead a high performing administration team.
  • Ensure Service Providers supporting Cosmic Group are compliant to company policy.
  • Maintain functional capability of the Cosmic Group Head Office and Other Offices and Facilities.
  • Any other reasonable requirements as deemed necessary within the role as Head of Administration, to support the Company.

Skills and Experience

Experience

  • To be successful in this role we require you hold experience in the following areas:
  • 2-years’ experience in a similar role
  • 1-years’ experience in overseeing administrative functions
  • Experience using SharePoint, & Xero

Skills

  • You will also be required to possess the following skills:
  • Team Management/Supervisory Skills
  • Team Development
  • Effective communications skills
  • Intermediate MS Suite Skills (MS Word, Excel, Outlook and PowerPoint)
  • High level customer and client service skill
