Contract Administrator – Gold Coast

Location: Gold Coast
Salary: $90,000 - $110,000
Position: Full Time

One of Gold Coasts rising building companies with more than 20 years specialising in all aspects of the industry is currently looking to appoint an Contracts Administrator to join their team. They have an excellent team culture and employ people for the long haul. Over time this industry leader has consistently had a high volume of work with a large portion being repeat business in the Education, Aged Care, Healthcare and Government space.

This company’s prior achievements in this field is helping them win more tenders across Brisbane & Gold Coast.

With a history of successful tenders on projects up to $20 million, they know their market and have a big order book due to their ongoing works within good Commercial Sectors. Our client has a proven track record of maintaining their staff and continually rewarding employees with promotions, pay-rises and bonus incentives. We are looking for someone who is a passionate team player with a keen eye for detail and is driven by meeting deadlines. Someone who can hit the ground running, taking care of a range of Senior Contracts Administration tasks.

Role and Responsibilities

  • Document control including invoice approval
  • Project set up once tender has been awarded, develop, implement and record OHSE, complete project handover folder both hard and soft copy for handover meeting with Site Supervisor and Senior Management
  • Liaising with management, regarding site related contract issues
  • Tender package to contractors and subcontractors negotiations
  • Project completion reports to be prepared at the end of each project for NSW & QLD Commercial Manager (and Directors) review prior to meeting review
  • O&M Manuals, QA documents eg Certificates to be completed as required by Head Contractor at the end (and sometimes) throughout the project
  • Approving sub-contractor invoices and progress claims while keeping our sub-contractor budgets up to date with each invoice
  • End of month cost report input and assistance
  • Input budgets into cost reporting software (Jex program)
  • Assisting the QLD Construction Manager with progress claims and variations for submitting to the Head Contractor
  • Assisting in all End of Month procedures, including invoice approval, stock takes / plant and equipment registers, labour costs for Work In Progress (WIP) reports
  • Other various tasks may include
  • Minute taking and administration of meeting notes
  • Productivity tracking using our Trade-Up software
  • Inductions online
  • Procurement and purchasing
  • Organisation of supply quotations for materials, maintain plant and equipment registers

Qualifications, Skills and Experience

  • At least 2-3 years’ experience in contract administration (essential)
